Zapier integration allows you to automatically send guest WiFi data to thousands of applications, from CRMs and email marketing platforms to spreadsheets and project management tools. By connecting Spotipo to Zapier via webhooks, you can create automated workflows that trigger whenever a guest connects to your WiFi, eliminating manual data exports and enabling real-time integrations.

This guide walks you through creating a Zapier webhook, configuring it in Spotipo, and setting up automated actions when guest data is received. Once configured, every WiFi login automatically sends guest information to your chosen apps.

What you'll accomplish:

  • Create a Zapier webhook to receive guest WiFi data

  • Configure Spotipo to export data to Zapier automatically

  • Set up automated actions in your preferred applications

  • Enable real-time guest data synchronization

What you'll need:

  • Spotipo Engage plan (integrations available on Engage plans only)

  • Zapier account (free or paid depending on usage needs)

  • Knowledge of which applications you want to integrate

Common Zapier automations: Add guests to Google Sheets, create CRM contacts in Salesforce/HubSpot, send Slack notifications for new guests, add subscribers to email lists, or trigger custom workflows in thousands of supported apps.

Important note: Integrations are available only on Engage plans

Login to Zapier

Go to https://zapier.com and login. Create an account if you dont have one.

Make a new zap

Once logged in you can create a zap or use any of the existing zaps. In this example we are creating one.

Select trigger app

As we are planning to do some action on receiving data from a webhook, search for the webhook and select the webhook as the trigger app.

Copy the custom webhook url

You will need this URL to configure export to webhook in Spotipo.

Test webhook URL

You can optionally test if the webhook URL is correct by posting some data to the given URL. Here, we did not send any data. If you don't want to test now, skip the test and continue.

Select action app

Upon receiving data from a webhook, we do some action with the action app. Select from the given list of action apps.

If you don't find the required app, try searching for it in the search box.

Configure action app

Configure the action app selected. Here we are using email app. If you select some other app, configure it accordingly.

Check your email if you received test message.

Turn on Zap

When everything is configured, turn on the zap

Enable Export to Webhooks in Spotipo

Go to Settings->Exports and enable export to webhooks

Configure the Zapier webhook URL

Optionally enable custom data

Don't forget to click finish at bthe ottom of the page when everything is configured and saved.

Your Zapier Integration Is Now Active

Once you've created the Zapier webhook, configured it in Spotipo, and turned on your Zap, guest WiFi data will automatically flow to your connected applications in real-time. Every new WiFi login triggers your configured Zapier workflow.

What to do next:

  • Test the integration by connecting a device to your WiFi and verifying data appears in your target application

  • Create additional Zaps for different workflows (CRM, email marketing, analytics)

  • Monitor Zapier task usage to ensure you stay within your plan limits

Popular Zapier integration workflows:

  • CRM sync: Add new guests as contacts in Salesforce, HubSpot, or Pipedrive

  • Email marketing: Subscribe guests to Mailchimp, ActiveCampaign, or ConvertKit lists

  • Spreadsheets: Log guest data to Google Sheets or Airtable for analysis

  • Notifications: Send Slack or email alerts when VIP guests connect

  • Custom workflows: Trigger multi-step automations across multiple applications

Common Zapier integration issues:

  • Webhook not receiving data: Verify webhook URL is correctly copied to Spotipo settings

  • Zap not triggering: Ensure Zap is turned on and webhook test was successful

  • Data mapping errors: Check that field names match between Spotipo and your target application
